Exhibitors are provided with floor space only. The booth fee does not include walls of any kind*. This means that each exhibitor is responsible for providing hard walls to create a separation from adjoining booths. Exhibitors can either bring their own hard wall system or rent from Stronco.*If your booth is within Studio North, Prototype or The District you may have walls or structure included in your booth fee. If you are an exhibitor in one of the above sections, please review your individual booth contract.Booth drape is not allowed and exhibitors cannot use a neighbor's exposed walls as a backdrop. In some cases, display elements may meet the criteria for separating walls. Show Management reserves the right to mask unsightly areas at the expense of the exhibitor. Walls should be 8'h. If you have a common wall with another exhibitor (this includes back walls and side walls), it must be 8’ in height. You must not build your display over 8’ if you have an adjoining wall with another exhibitor. Side walls, in addition to being 8’ in height, must also extend all the way to the aisles; refer to the booth illustrations here.If you have an island your height restriction is 12’. Above that height, written approval must be obtained from Show Management. In addition, exhibitors planning to go above the 12’ restriction may be required to have engineered, stamped exhibit drawings. Exhibitors who are unable to produce engineered drawings in their own offices may submit their exhibit drawings to Melissa Lauzon at Melissa.Lauzon@informa.com for submission to the MTCC for approval before building or committing to the final drawings.NOTE: Please refer to the MTCC Notice to Exhibitors for additional booth regulations that must be adhered to.To order Hardwalls, please refer to the Stronco portal linked through the Service Order Forms Page.

There is no complimentary storage at the MTCC during the show. Stronco Show Services will, if required, arrange for the removal and return of items needing storage (note, this is a paid service for which exhibitors are responsible unless they have booked the Material Handling services which includes storage of empty crates and pallets). All containers should be clearly marked with the exhibitor’s name and booth number. Exhibitors who handle their own freight should complete the Stronco Storage Order Form below if they wish to arrange storage of empties or other material during the show. NOTE: exhibitors who have ordered Stronco Material Handling already have storage included with their order.To order Storage & Material Handling, please refer to the Stronco portal linked through the Service Order Forms Page.

The cost of booth carpet/floor covering is not included in the booth rental. Exhibitors can bring or rent floor covering from Stronco (except those exhibitors in Studio North who are provided with carpet). Painting, nailing or drilling of floor is not permitted. Exhibitors wishing to lay tile or other floor covering, or build any structure, may not adhere it directly to the building floor. It is required that building paper, plastic sheeting, or some other suitable protection be laid on the building floor. If two-sided tape is used, it must be completely removed by the exhibitor during move-out. Exhibitors must not use masking tape, clear packaging tape or duct tape to adhere the covering to the show floor. The recommended tape is Scapa Tape which is a high-adhesion double-sided cloth tape commonly used at trade shows; it leaves almost no residue upon removal. Scapa Tape is available from Pillar Tapes Ltd. or National Hardware Sales Ltd.Upon removal of each booth, the MTCC and Show Management will inspect each space for any damages incurred by the exhibitor and check that all materials, including tape residue left on the floor, are properly removed. Any charges to make good the exhibit space will be passed on to the exhibitor.IMPORTANT NOTE: There is no aisle carpet at the show. All Informa shows are making changes towards creating more sustainable events. Part of our efforts will include eliminating the aisle carpets. We recommend that your booth design includes flooring or floor covering for comfort and so that your space is delineated from the aisles.AVOID TRIP HAZARDS: Exhibitors with raised floors must remember that they are limited to a maximum height of 6″. In addition, all concealed wiring must be quickly accessible for emergency service. If you plan on installing raised floors in your booth, they must be non-hazardous and wheelchair accessible. Wheelchair ramps must be at least 3′ wide with a maximum slope of 1:12 (i.e. a 6″ rise would require a 6′ run). Landings must be provided at tops and bottoms of ramps and must be at least 36″ wide by 60″ and free of obstructions. Ramps must be curbed or guarded at their edges and surfaces must be firm and slip-resistant. There must also be a ramp at every 100 feet. Please note the full extent of any ramp must fall within your assigned booth space and cannot extend into the aisles. Exhibitors should ensure they build any raised floors with these requirements in mind.Any flooring with a height of 3/8" or greater will require a transition strip.Each exhibitor must stay within their contracted booth size; this includes all floor coverings.To order carpet, please refer to the Stronco portal linked through the Service Order Forms Page.

Please review all shipping information thoroughly and ensure your material handling and requirements are confirmed well in advance of move-in. You have three delivery options:Option 1. Ship your exhibit materials to the Advance WarehouseAdvance Shipments to Warehouse – Your BEST Option.We recommend you ship your show material to the Stronco warehouse in advance of the show. The benefits of advance shipping include the storage of material for up to 30 days prior to the show, delivery of shipment to the show site prior to exhibitor move-in and the ability to skip the Voyage Control system during move-in.If you ship to the advance warehouse, your freight will be at the show site prior to your scheduled move-in time. The cost of the advance warehousing service includes all of the following:Receive shipment at the warehouse up to 30 days in advance of the show (any items stored beyond 30 days will incur additional charges)Provide inventory count and record any visual damageDeliver materials to show siteAdvance Warehousing service includes delivery to the show site only; it does NOT include delivery to your booth (Material Handling service). Ship Direct to the Show SiteDirect shipments must be made during the exhibitor’s assigned move-in day and time. Please refer to the Colour-Coded Move-In Floor Plan for this information. You may NOT move in earlier than your scheduled time.Offloading Reservation System: Voyage ControlThe MTCC uses an online reservation system called Voyage Control for booking an offloading time. This complimentary service helps you reserve a time slot for moving your materials directly in/out of the MTCC’s offloading/loading areas.Detailed instructions will be emailed on December once the Voyage Control portal is live and ready to accept bookings for your designated move-in time. Voyage Control Booking Information has been sent on December 11, 2024, with the subject line: "Your IDS Toronto 2025 Voyage Control Booking Information". If you still haven't received this email, please reach out to IDSOperations@Informa.comClick HERE to see the MTCC Loading Dock Map.When vehicles arrive at the offloading area, they must check in with the Dock Staff (wearing red coats). Please make sure the driver has their timed Voyage Control booking pass visible for the staff to scan. If vehicles arrive early or late, they may be asked to return once space becomes available. IMPORTANT NOTE: There is no Marshalling Yard. All vehicles will need to make a Voyage Control booking in advance of their arrival at the venue. Important: Under no circumstance may a vehicle put their 4-way flashers on and block traffic at the West Ramp or on Front Street. Toronto Police will ticket any vehicle blocking traffic on the street. A limited number of flatbed four-wheel dollies will be available, on loan, for unloading smaller shipments. If you require any larger mechanical devices (i.e. forklifts) for the movement of display materials from the offloading area to your booth, please complete the Stronco Material Handling Order Form. Be sure to consider not only the amount of time you’ll save by using the forklift service but also health and safety considerations for heavier or awkward freight. Note, this is an exclusive service and exhibitors may not bring their own forklifts.Exhibitors who plan to off-load themselves might also want to consider using crates that have wheels to allow for faster unloading. PARKING AT THE OFF-LOADING AREA IS PROHIBITED. Vehicles must be removed as soon as unloading is complete. All exhibitors are urged to review their material handling operations and requirements with Stronco Show Services well in advance of move-in. IMPORTANT: the material handling rate is based on booth square footage rather than the weight of shipping freight. Service includes receiving and unloading at off-loading area; delivery to booth; removal, storage and return of empty crates; removal of freight from booth at show close; and loading on designated carrier(s). Move in without the use of Loading Docks If you are only bringing in something small that can be hand-carried then there is no need to make an appointment through Voyage Control. You can just park your car in the MTCC's parking garage and bring your items in via the elevator.Reminder: you may NOT move-in earlier than your scheduled time, however, you may move-in later than your scheduled time as long as your display is completed by Wednesday, January 22 at 8:00pm.

RPAS / drones may not be operated indoors at Metro Toronto Convention Centre without the facility’s express consent. Please note that drones will not be allowed to fly over attendees within the venue. Exhibitors who wish to fly a drone within the convention centre must contact Melissa.Lauzon@informa.com to learn about insurance requirements and other regulations. The lead time to obtain the necessary permissions and accepted policies from insurers can be lengthy, so exhibitors are encouraged to begin the process early.

It is the exhibitor’s responsibility to comply with the Fire Regulations and requirements of the City of Toronto Fire Department. In addition, all exhibitors must review the Fire Safety Regulations outlined by the MTCC and then complete the Fire Safety Reply and return to the MTCC by the deadline.To complete the MANDATORY Fire Safety Reply Form with Fire Safety Regulations, please refer to the Health & Safety section on the Service Order Forms Page. Deadline for submission is December 20, 2024.The Ontario Building Code prohibits the use of flammable materials in booth construction and décor. Styrofoam and foam core, in any form, is forbidden. Fire regulations require that all decorating materials (i.e. fabric and carpeting, etc.) be fireproofed or made of fire retardant material. This does not apply to displaying your own product. Flameproofing usually lasts from 6 months to 1 year. All fireproofing must take place off-site prior to move-in. Once your display has been flameproofed please make sure you bring the documentation on-site to show to the fire prevention inspector. This will avoid having to fire-test the exhibit on site. The documentation should indicate by whom and when the fireproofing was done, the exact materials flameproofed and the flameproofing compound used and the approximate period of effectiveness. The fire prevention inspector will remove equipment and materials considered hazardous at the exhibitor’s expense. Service for flameproofing can be arranged with the official fire proofer Green Dolphin.

Exhibitor staff badges are exclusively for staff working in your booth during show days and are not to be used as admission tickets for guests. Staff badges must be worn at all times and be clearly visible to security personnel who will scan your badge each time you enter the exhibit hall. Each exhibitor has been allotted complimentary badges depending on booth size. Each badge must have a staff name listed on it and is not transferable. Additional or replacement badges are $50.00/ea + HST. Proof of affiliation with the exhibiting company may be required for all NEW badges printed on-site. Staff badges will be issued on-site during move-in at the registration counters located in the lobby outside the exhibit hall. Please have your business card or proof of affiliation with the exhibiting company on hand when picking up your badges. If you have any staff helping you during move-in and/or move-out who will NOT work in the booth during show days, they don't need to be registered here. They will be issued temporary badges onsite during move-in/move-out. Aisles and common areas within the show will be cleaned daily. Exhibitors are responsible for the appearance of their own booths. Exhibitors must make arrangements for all booth cleaning, and are required to use the janitorial services of the MTCC for all booth cleaning, including vacuuming of booths prior to show opening. Janitorial services (carpet shampooing, vacuuming, dusting, and garbage removal) are available to order using the link below . Please note, cleaning is an exclusive service provided by the MTCC and exhibitors cannot bring their own cleaning staff.At the end of the show, exhibitors are also responsible for removing all garbage and debris from their booth upon moving out of the MTCC. There will be a bulk garbage removal fee charged to the exhibiting company if this is not adhered to. IDS will take all reasonable security precautions to safeguard the premises. A security firm has been hired to provide 24-hour service to the exhibit halls. While we provide security, you must be vigilant and aware of your possessions. Exercise the following precautions to safeguard your booth during the Show:Try to be on site when your product is being delivered to your booth.Conduct a physical inventory after your product has been delivered, noting any missing or damaged items.Do not leave your bill of lading unattended in your booth.When setting up your booth, place your products where you can keep an eye on them.After setting up your booth, conduct a visual inventory of your product and the way in which it is displayed (your camera phone is helpful for this.) Inventory all valuable items in your booth by recording serial numbers and descriptions.Store any excess product or give-aways in a locked cabinet.Don’t leave purses or briefcases on tables near the entrance of the booth or in an unattended blind spot. They should also not be left behind drapes or underneath tables since this is the first place that is targeted.Try to greet anyone that comes into your booth – this lets them know that you are aware of their presence and will discourage any attempts to steal.If your booth contains many valuables whichare difficult to secure or time-consuming to setup or teardown on a daily basis, you may want to consider hiring your own overnight security guard. The expense will be justified should you lose one item.When you leave at the end of each day either take your laptops, tablets or other electronic equipment with you, or store them in a locked cabinet.Never leave cash or credit card receipts in your booth overnight.At the closing of the Show, don’t leave your booth immediately; remain there until the floor clears. This is one of the premium times during which theft occurs.Stay with your product on closing day until it has been securely packed and picked up for shipment. If you’re returning the following day to pack up your booth then it’s advisable to remove small cartons and open cases of products immediately after 6:00 PM on closing day to minimize the possibility of loss or damage to such items.Obtain proper insurance coverage for your booth display and products, including transit to and from the Show site. (Show Management is not responsible for any injury, damage or theft occurring on the way to or from the Show or while on site.) Exhibitors are urged to obtain a rider to existing insurance policies to protect booth/product from the time it leaves their warehouse to the time it returns by contacting their insurance agent.
