Pre-Show Checklist
To maximize the benefits of participating at IDS, we suggest you become familiar with all of the information relating to the show. Here is a checklist that highlights key items to consider when finalizing your plans.
☑ Return your signed Exhibitor Contract.
☑ Submit your final/updated booth renderings to Catia Varricchio at Catia.Varricchio@informa.com. MANDATORY, DUE NOW.
☑ Review the contents of the Exhibitor Kit.
☑ Fill out the MANDATORY SUSTAINABILITY SURVEY by January 10, 2025.
☑ Review and comply with the Booth Display Regulations.
☑ Edit your entry in the exhibitor directory HERE.
☑ Hire the exclusive suppliers and official suppliers of IDS Totonto. Be aware that on many occasions our exhibitors are approached by other vendors claiming to be an official IDS partner when in fact they are not! Official and Exclusive suppliers can be found here.
☑ Place order with Stronco for carpet, material handling, furniture etc. if necessary before the Earlybird Deadline, December 24, 2024.To order, please refer to the Stronco portal linked through the Service Order Forms Page.
☑ Place order with MTCC for parking passes, booth cleaning and/or internet service before the Earlybird Deadline, January 6, 2025. To order, please refer to the MTCC portal linked through the Service Order Forms Page.
☑ Order lighting, electricity, suspended structures services, etc. (if required) from SHOWTECH before the Earlybird Deadline, December 30, 2024. To order, please refer to the SHOWTECH portal linked through the Service Order Forms Page.
☑ Order Lead Retrieval (app or scanners) from MicroSpec before January 9. Place the order from your Exhibitor Badge Portal.
☑ Review the Colour-Coded Move-in Floor Plan to determine your assigned move-in day and time.
☑ Book Voyage Control time slot for each vehicle for Move-In and Move-Out. You will receive a dedicated email with booking code on December 2024.
☑ Register your exhibitor staff badges. Learn more about badges HERE.
☑ Register your clients or staff for professional Trade Day, using your allotted complimentary registrations. Learn more about complimentary tickets HERE.
☑ Submit the MANDATORY Fire Safety Reply Form to the Metro Toronto Convention Centre by December 20, 2024. Fire Safety Reply Form with Fire Safety Regulations (Download form and return completed forms to: FireSafetyReply@mtccc.com)
☑ Order additional tickets for the Opening Night Party, Trade Day or weekend if required. Learn more about complimentary tickets HERE.
☑ Submit Safety Data Sheets (SDS) for any hazardous materials/products to be used at the show to Melissa Lauzon at Melissa.Lauzon@informa.com by January 3, 2025.
☑ Make arrangements for $5,000,000.00 commercial general liability insurance with Exhibitor Insurance or upload a copy of existing policy that meets all of the requirements for review HERE.
☑ Submit the MANDATORY Health & Safety Declaration Form by January 10, 2025.
☑ Submit the MANDATORY Form 016-1000E by the deadline of January 10, 2025.
☑ Submit the Notice of Intent to Use Exhibitor Appointed Contractor (EAC) by January 10, 2025, if you plan to use an independent contractor to install or dismantle your exhibit.
☑ Ensure all staff and contractors wear CSA-approved hard hats, steel-toed shoes and high-visibility vests during move-in and move-out. Access to show floor without these items is prohibited. No exceptions.
