Cleaning, Regulations
Aisles and common areas within the show will be cleaned daily. Exhibitors are responsible for the appearance of their own booths. Exhibitors must make arrangements for all booth cleaning, and are required to use the janitorial services of the VCC for all booth cleaning, including vacuuming of booths prior to show opening. Should exhibitors require janitorial services (carpet shampooing, vacuuming, dusting, and garbage removal) please refer to the VCC Booth Cleaning Order Form listed below. Please note, cleaning is an exclusive service provided by the VCC and exhibitors cannot bring their own cleaning staff.Exhibitors are also accountable for clearing all garbage and debris from their booths upon vacating the Vancouver Convention Centre and are expected to explore avenues for reuse and recycling rather than resorting to direct landfill disposal. Failure to comply will result in a bulk garbage removal fee being charged to the exhibiting company.Any exhibit construction that requires the use of power tools must have the appropriate dust extraction equipment. Occupational Health and Safety, Safety
High-visibility vests are MANDATORY, please ensure that your entire team brings their own vests, or be prepared to purchase them onsite at the VCC Exhibitor Service Desk.All exhibitors are reminded that workplace and worker safety is everyone’s responsibility. All participants at IDS Vancouver must comply with the legislation contained in the Occupational Health and Safety Regulation and Workers Compensation Act, which is governed by WorkSafeBC.The Occupational Health and Safety Act also requires exhibitors who will spend $100,000 or more on labour and materials must complete a “Notice of Project”. Please see the Notice of Project section below for more information.1. PERSONAL PROTECTIVE EQUIPMENT:Anyone working or visiting the show floor during move-in and move-out regardless of their booth size or location on the show floor MUST wear the following:CSA approved steel-toed safety shoes (look for the green triangular patch). High visibility vest. Safety vests are available to purchase at the Service Desk on the show floor; you are also more than welcome to bring your own safety vests.CSA approved hard hat in booths where overhead work and any work above 10 ft. is being done. (bicycle helmets are not allowed)2. HEALTH & SAFETY DECLARATION FORMShow management will be vigilantly monitoring the show floor to ensure a safe work environment; everyone must make it a priority to minimize the potential hazards and reduce the risk of injuries. Should you see a hazard or unsafe work practice on the show floor, notify show management immediately. All exhibitors are required to submit the Health & Safety Declaration Form [COMING SOON: Link to the form will be available in June] by August 29, 2025. We kindly ask that you advise your staff, suppliers and exhibitors of the safety practices.

Recycled products include new Gypsum Wallboard and related Gypsum products.Help the environment and save money by returning your used Gypsum Wallboard end-cuts or renovation gypsum drywall waste to our New West Gypsum Recycling Plant located in New Westminster, British Columbia. Propane, Regulations
Propane Usage RequirementsExhibitors planning to display equipment fueled by propane or natural gas must obtain permission from the Vancouver Convention Centre at least 30 days before the show date. For permission requests, contact Nick Hamzah at NHamzah@vancouverconventioncentre.com.Propane tanks exceeding 20 lbs (9.1 kg) are prohibited inside the building but may be stored in designated outdoor areas through arrangements with Event Services & Venue Operations. Generally, exhibits are limited to one propane tank per booth, with exceptions possible at the fire marshal's discretion.All propane tanks must be equipped with flow restriction valves, available from Home Depot (604-675-1260) or Acklands-Grainger (604-879-4211). Every propane connection requires inspection and approval by Vancouver Convention Centre staff. For exhibits with larger propane requirements, special arrangements must be coordinated through the Provincial Gas Inspector via Melissa.Lauzon@informa.com.All empty containers must be removed when the event concludes. Please note that fees will apply for any tanks left on-site after the event.Compressed Gas Cylinders and Other Gas ContainersAll requests to use or store compressed gas cylinders or other gas containers on-site must be submitted to Event Services & Venue Operations for approval. Contact Nick Hamzah at NHamzah@vancouverconventioncentre.com. with details including:Number of containersSize/volume of each containerType of gasThe Vancouver Convention Centre will determine whether gas containers may be stored on-site (either in the event space or elsewhere) and specify any applicable storage conditions. All gases must be stored in approved containers specifically designed for their contents and clearly labeled with appropriate content and safety information.Exhibitors are responsible for arranging both drop-off and pick-up of gas containers. Disposal costs will be charged to the Client/Exhibitor for any gas containers left on-site following the event.
Official Suppliers, Info
The use of the IDS Vancouver official suppliers, though preferred, is not mandatory (unlike the Exclusive Suppliers listed above which are mandatory to use). The contact information and services provided by all of our official and exclusive suppliers can be found HERE.NOTE: On many occasions our exhibitors are approached by other vendors stating they are IDS Vancouver official partners. To confirm a vendor is an official supplier or partner, please refer to the list of IDS Official Suppliers.
Electrical, Regulations
All electrical services at the Vancouver Convention Centre (VCC) must be arranged through the venue. Exhibitors are responsible for ordering their own electrical power in advance using the VCC Electrical Order Form provided below.Installation Requirements: Exhibitors may only use regular three-prong grounded extension cords with wires of appropriate size for the electrical load. All on-site hard wiring and connections must be performed by VCC electricians. Self-installation of electrical wiring devices is strictly prohibited.Power Distribution: Power and telecommunications are supplied through floor ports located every 30' on centre (north-south and east-west). These flush metal panels (approximately 2'4" × 1'10") are marked as small open square symbols on the floor plan. Use flat wiring to deliver power from floor ports to your display. For specific floor port locations, contact IDSOperations@informa.com.Important Note: Since IDS will not have aisle carpeting, we recommend ordering Overhead Power Outlets if your booth lacks a floor port. This prevents cables from running through aisles into your space.To order Lighting, please refer to the MTCC portal linked through the Service Order Forms Page.Electrical Compliance RequirementsWiring Standards: All wiring must comply with the latest edition of the Canadian Electrical Code. The BC Safety Authority will reject:Open jointsTaped jointsUngrounded wiringImproper box connectorsPre-Show Inspection: Any lighting or wiring not factory-assembled must be approved by an accredited agency before move-in. Non-compliant wiring will require correction by VCC electricians at standard hourly rates. On-site correction orders will only be addressed after all pre-ordered work is complete. We strongly recommend having all wiring and lighting inspected and corrected before bringing it on-site.Certification Contact: For electrical equipment certification, please contact the Canadian Standards Association.Products for Sale RequirementsElectrical Products for Sale by Exhibitor (eg. lamps)Any electrical product (eg. lamps) being sold at the show must be CSA approved for parts AND assembly. Though all lamp parts might be CSA Approved, when they are assembled together to make a new electrical product, it does not assure that this item has been assembled correctly or is electrically safe. Any new electrical product requires an inspection certificate. Please visit the Technical Safety BC website for more details.Electrical equipment is considered to be approved if it bears the certification mark or Field Evaluation label of an organization that has been accredited by the Standards Council of Canada to approve electrical equipment. If these markings are missing, the equipment is considered to be unapproved. Balloons, Regulations
Absolutely no balloons of any kind are permitted at the Interior Design Show Vancouver.
Exhibitor Badges, Badges & Tickets
Exhibitor staff badges are exclusively for staff working in your booth during show days and are not to be used as admission tickets for guests. Staff badges must be worn at all times and be clearly visible to security personnel who will scan your badge each time you enter the exhibit hall. Each exhibitor has been allotted complimentary badges depending on booth size. Each badge must have a staff name listed on it and is not transferable. Additional or replacement badges are $45.00/ea + GST. Proof of affiliation with the exhibiting company may be required for all NEW badges printed on-site. Staff badges will be issued on-site during move-in at the registration counters located outside exhibit hall C. Please have your business card or proof of affiliation with the exhibiting company on hand when picking up your badges. Staff or contractors working only during move-in and move-out do not need a badge and will be checked in at the door upon arrival. You do not need to register their names in advance. Sale Signs, Regulations
At no time will SALE signs, SHOW DISCOUNT signs, SHOW SPECIAL signs, or others of this nature be permitted on the exhibit floor. Show management will ask you to remove the signs if they are on display.

Each exhibitor will have a Staff Badge & Guest E-Ticket Portal assigned to them.Use this Portal to:1. Register your exhibitor badges for staff working in your booth during show days2. Lead Retrieval – Attendee Scanning, Marketing
Build your sales prospect list by scanning attendees* (and fellow exhibitors) using the lead retrieval service provided by MicroSpec, the official registration and ticketing provider for IDS Vancouver. Easily capture, qualify and connect with potential buyers at the show and then view, filter and export your leads to Excel from your lead retrieval portal. * Only attendees on Professional Trade Day (9am-6pm Friday, Sept. 26) wear badges that can be scanned by the Mini Scanner. Attendees at Thursday’s Opening Night Party and on the weekend don’t wear badges and can’t be scanned by the Mini Scanner. Those attendees use tickets that can only be scanned by the Leads123 mobile app installed on your phone or tablet. These two scanning options are outlined in the chart below. Benefits:  Easy To Use – The Lead Retrieval App and Mini Scanners are as simple as point and click so you can spend your time talking to potential buyers and not trying to scan their badge.  Accurate Information – Since lead data is linked to the event registration data, you will have access to the most up to date information available, even if updated during the event.  Additional Exposure – When you rent a lead retrieval device or app from MicroSpec your company contact details will appear on the “Who scanned Me” report sent to each attendee post-event and can facilitate proactive follow-up with you by the potential buyer.  Fully Supported Onsite – MicroSpec lead retrieval personnel are on-site throughout the show with fast and friendly service. They care about your experience so their staff walk the exhibit hall during show hours and visit booths daily. Exhibit Hall Security, Safety
IDS will take all reasonable security precautions to safeguard the premises. A security firm has been hired to provide 24-hour service to the exhibit halls. While we provide security, you must be vigilant and aware of your possessions. Exercise the following precautions to safeguard your booth during the Show:Try to be on site when your product is being delivered to your booth.Conduct a physical inventory after your product has been delivered, noting any missing or damaged items.Do not leave your bill of lading unattended in your booth.When setting up your booth, place your products where you can keep an eye on them.After setting up your booth, conduct a visual inventory of your product and the way in which it is displayed (your camera phone is helpful for this.) Inventory all valuable items in your booth by recording serial numbers and descriptions.Store any excess product or give-aways in a locked cabinet.Don’t leave purses or briefcases on tables near the entrance of the booth or in an unattended blind spot. They should also not be left behind drapes or underneath tables since this is the first place that is targeted.Try to greet anyone that comes into your booth – this lets them know that you are aware of their presence and will discourage any attempts to steal.If your booth contains many valuables which are difficult to secure or time-consuming to setup or teardown on a daily basis, you may want to consider hiring your own overnight security guard. The expense will be justified should you lose one item.When you leave at the end of each day either take your laptops, tablets or other electronic equipment with you, or store them in a locked cabinet.Never leave cash or credit card receipts in your booth overnight.At the closing of the Show, don’t leave your booth immediately; remain there until the floor clears. This is one of the premium times during which theft occurs.Stay with your product on closing day until it has been securely packed and picked up for shipment. If you’re returning the following day to pack up your booth then it’s advisable to remove small cartons and open cases of products immediately after closing on Sunday to minimize the possibility of loss or damage to such items.Obtain proper insurance coverage for your booth display and products, including transit to and from the Show site. (Show Management is not responsible for any injury, damage or theft occurring on the way to or from the Show or while on site.) Exhibitors are urged to obtain a rider to existing insurance policies to protect booth/product from the time it leaves their warehouse to the time it returns by contacting their insurance agent.
