Use the checklist below to help you get ready for IDS Vancouver 2024:

☑ Return your signed Exhibitor Contract.

☑ Submit your booth rendering Catia Varricchio at Christine.Heyman@informa.com.[MANDATORY, DUE NOW].

☑ Review the Colour-Coded Move-in Floor Plan to determine your assigned move-in day and time and book your Voyage Control pass.

☑ Book your accommodations now; hotel rooms book up quickly in Vancouver!

☑ Review the contents of the Exhibitor Kit.

☑ Review and comply with the Booth Display Regulations.

☑ Hire the exclusive suppliers and official suppliers of IDS Vancouver. Be aware that on many occasions our exhibitors are approached by other vendors claiming to be an official IDS partner when in fact they are not!

☑ Place order with LEVY Show Service for carpet, material handling, storage, etc. via the LEVY portal.

☑ Order lighting, electricity, suspended structures services, etc. (if required) from Vancouver Convention Centre via the VCC portal.

☑ Order lead retrieval scanner from MicroSpec via the MicroSpec portal [Link to be live on July 2024]. IDS does not provide exhibitor lists or trade attendee lists or attendee lists. Be aware of any emails that offer these lists.

☑ fill out the MANDATORY SUSTAINABILITY SURVEY by June 28, 2024 [MANDATORY].

☑ Review the Exhibitor Fire Safety Regulations for the Vancouver Convention Centre.

☑ Order additional tickets for the Opening Night Party, Trade Day or weekend if required. Learn more about complimentary tickets HERE.

☑ Have promotional materials ready for distribution at your booth. Consider using QR codes for a more sustainable approach to on-site marketing!

☑ Register your exhibitor staff badges. Learn more about badges HERE.

☑ Submit your Certificate of Insurance by August 30, 2024. Make sure your policy meets all of the requirements listed HERE. You can purchase and insurance from Exhibitor Insurance or Upload a copy of your existing policy.

☑ Submit the Notice of Intent to use Exhibitor Appointed Contractor (EAC) Form by August 30, 2024 if you plan to use an independent contractor to install or dismantle your exhibit.

☑ Submit the Exhibitor Health & Safety Declaration by September 1, 2024 [MANDATORY].

☑ Pack high-visibility safety vests for your entire team. Safety vests are mandatory on the show floor during move-in and move-out. Safety vests will be available for purchase via the VCC order desk onsite.
