1) Exhibitor Move-in

All exhibitors have been assigned a move-in day and time based on their booth location. Please check the Colour-Coded Move-In Floor Plan to determine your scheduled move-in time.
Please note: exhibitor space must be paid in full before exhibitors will be allowed to move-in and set-up. If you have any questions regarding your balance please contact Christine Heyman at Christine.Heyman@informa.com
Voyage Control
The Vancouver Convention Centre uses an online loading dock reservation system called Voyage Control; instructions will be emailed to all exhibitors closer to the show with booking details and the Truck Route Entrance map.
All move-in times at the Vancouver Convention Centre will be scheduled by a Fast Track Reservation System, Voyage Control.
Benefits of Voyage Control:
- Reduced waiting times.
- You can schedule an exact time for offloading during your specified move-in time. Refer to the truck route entrance map for directions.
- Your online booking will give you a dedicated space and time slot for your vehicle.
- Up-to-date communication from Dock Staff.
- Reduced carbon footprint through elimination of idle waiting time.
We understand that some of the materials that you might be bringing to the show may not necessitate the need to use the Loading Dock and Staging Area for your move-in (i.e Prototype, Studio North, District and Collect exhibitors). If this is the case, you do not need to use Voyage Control and you may enter through the Main Entrance or Parking Level with materials in hand or a hand dolly directly to your booth to set-up.

The booking time is when your delivery vehicle should report to the truck route entrance of the VCC. From there your vehicle will be sent to the off-loading area. The VCC off-loading area will not be available for deliveries outside of your scheduled move-in times, however exhibitors may work on their booths outside the assigned move-in time slot; the move-in schedule refers only to unloading times. Exhibitors can also stay late to work on their booths (outside the hours listed above) with permission from Show Management. If you report outside of your scheduled and booked move-in time, preference will be given to vehicles that have met their target time.
PARKING AT THE LOADING DOCKS DURING SET-UP IS PROHIBITED. Vehicles must be removed as soon as unloading is complete. Vehicles left in the loading docks or inside the exhibit hall staging area will be removed immediately at the owners expense. There are many private parking lots around the VCC, prices range from $20-$40 per day.
2) Shipping to the Show
Please review all of the shipping information thoroughly and ensure your material handling and requirements are confirmed well in advance of move-in. You have two shipping options:
Option 1.
Advance Shipments to Warehouse – Your BEST Option.
We recommend you ship your show material to the LEVY Warehouse in advance of the show. The dates between which the goods may be shipped are to be confirmed. The cost of the service includes all of the following benefits:
- receiving your material at the warehouse up to thirty days in advance of the move-in day
- delivering the shipment to your booth at the facility
- removing empty crates from your booth to a designated storage area
- returning your empty crates to your booth at the close of the show
- loading your crates onto your designated carrier at the close of the show

Option 2.
Direct Shipping to the Vancouver Convention Centre.
Direct shipments must be made during the exhibitor’s designated move-in day and time. Every crate or carton must be marked with appropriate shipping labels. Please refer to the Colour-Coded Move-In Floor Plan (coming soon).
LEVY Show Service has been appointed the Official Transportation Provider and Customs Broker for the Interior Design Show Vancouver. Exhibitors have the option, however, to ship their materials to the show via any carrier. LEVY can provide all modes of transportation (including land, air and sea) as well as both local and international cartage service.

Please ensure that a representative from your company is present when your shipment arrives. Also ensure that personnel working on your booth have your company name and booth number. This will ensure that the material handling on move-in days runs smoothly and efficiently and minimize security hold ups. If an exhibitor’s representative is not present, the Interior Design Show reserves the right to order equipment and/or materials moved from the unloading area to the exhibitor’s booth area, or to order the removal of the truck from the unloading area. Charges for this service will be invoiced by LEVY Show Service to the exhibitor. Delivery vehicles will require a Voyage Control pass to enter the loading dock area.
Material Handling
The maximum time allotted for vehicle off-loading is 30 minutes. No mechanical conveyances will be provided for the movement of display material from the unloading area to your booth. A limited number of dollies will be available on loan from LEVY for unloading smaller shipments. If you require any larger mechanical devices (ie. forklifts) for the movement of display materials from the loading dock area to your booth, please complete the LEVY Material Handling Order Form below. The Interior Design Show Vancouver will not have any of these machinery items to loan. The material handling rate is based on booth square footage rather than weight of shipping freight. Service includes receiving and unloading at off-loading area; delivery to booth; removal, storage and return of empty crates; removal of freight from booth at show close; and loading on designated carrier(s).
Exhibitors who plan to off-load themselves might also want to consider using crates that have wheels to allow for faster unloading. PARKING AT THE OFF-LOADING AREA IS PROHIBITED. Vehicles must be removed as soon as unloading is complete. All exhibitors are urged to review their material handling operations and requirements with LEVY Show Service well in advance of move-in.

3) International Shipments
LEVY Show Service, the Official customs Broker for the Interior Design Show Vancouver, provides trans-border transportation. You have the option, however, to ship materials to the show via any carrier. LEVY will maintain staff on-site from move-in through move-out to assist exhibitors with their entry/import and return/export of goods. Exhibitors may request a comprehensive Customs Guide from LEVY to assist in the preparation and distribution of documents.
We strongly recommend a customs broker be used for all material being shipped from outside of Canada, including convention materials. Advance communication will ensure the most favourable customs status and trouble-free entry. For our international exhibitors, assistance with your freight and customs can be arranged with the Official Customs Broker, LEVY Show Service by phone at 604-277-1726, or by email at operations@levyshow.com.
Customs Letter of Recognition
To simplify the import process and ensure a smooth entry process, international exhibitors should follow the requirements outlined in the customs letter of recognition and distribute the letter as follows:
- Present the customs letter of recognition to a CBSA officer when they arrive at the Canadian border;
- A copy of the letter should accompany any shipment of commercial goods to the event; and
- A copy should be forwarded to the designated representative or customs broker, as applicable.

Border Crossing
Exhibitors who plan on crossing the border from the USA to Canada should consider the following points:
- A list of the Points of Entry into Canada can be found here. Check wait-times and plan accordingly.
- US citizens require a valid passport for travel to Canada and upon re-entry to the US.
- Exhibitors should be prepared to answer questions from CBSA officers about why they are traveling to Canada.

Duties and Taxes
Equipment and exhibits for this show, which will leave the country after the show, may be brought in free of duties and taxes but are subject to a deposit equal to the duties and taxes normally levied on them. (No duties apply, just 5% GST, for products made in the U.S.A.). The Official Customs Broker has made arrangements with Canada Customs for a bond to cover all imports to this show. Exhibitors using the services of the Official Customs Broker will therefore not be required to issue a separate power of attorney.
Note: For printed materials, advertising material and give-away articles, Canada Customs requires the payment of full duties and taxes on these materials. (No duties apply, 5% GST, for products made in the U.S.A.). For more details, contact the Official Customs Broker directly.

4) Exhibitor Move-out

Monday, September 30, 2024 9:00am - 1:00pm
IMPORTANT NOTE: Exhibitor Move-Out Schedule: Please refer to the Colour-Coded Move-Out Floor Plan for an estimated time for when your booth should be packed and ready to load. The Voyage Control booking system will be used for Move Out. You will be emailed your booking code and instructions to book your timeslot. The success of move-out is dependent on exhibitors adhering to the Move-Out Schedule. It is imperative that you book your move out to allow enough time for dismantle. Only booths that are packed and ready to load will be allowed to have their vehicles/trucks access the South Ramp. Booking time slots can be adjusted onsite by visiting Voyage Control.
NOTE: No dismantling or removal of any material is permitted until after the official Show close on Sunday. Do not leave valuable products or merchandise unattended during move-out. If you will not be fully moved out on Sunday night, please remove all valuable items and pack up your booth for Monday pick-up. Delivery of crates and shipping items from storage will occur immediately after attendees have cleared the show floor and will be completed by Monday morning.
Product is most vulnerable to loss during dismantling, and so please never leave valuables unattended. The show’s general security is merely a presence to inhibit theft.
More information about move-out will be available in the Move-Out Memo that is distributed to all exhibitors during the show.
